Refund Policy

Summary: Free tools have no charges. Premium subscriptions are refundable within 7 days if unused. Agency services are non-refundable once work begins, but fully refundable if we cannot complete your estimate.

1. Free Tools

The 11 free estimation tools (Paint Calculator, Concrete Estimator, Roofing Calculator, Tile Calculator, Flooring Calculator, Drywall Estimator, Framing & Lumber Estimator, Foundation Estimator, Deck Calculator, Driveway Cost Calculator, and the Federal Davis-Bacon Wage Calculator) are completely free with no account required. No payment is collected, so no refund policy applies.

2. Premium AI Tools Subscription

Our Premium AI Tools subscription is billed monthly at $299/month (or annually at a discounted rate).

2.1 Cancellation

You may cancel your Premium subscription at any time from your account dashboard or by contacting support@ximator.com. Upon cancellation:

Full refund: If you request a refund within 7 days of your initial subscription payment AND have not used any premium tools or saved any premium estimates, you are eligible for a full refund.

Not refundable: Subscriptions where premium tools have been accessed, estimates have been generated, or human review has been initiated are not eligible for refund. Monthly renewal charges are non-refundable once the billing cycle begins.

2.3 How to Request a Refund

Email support@ximator.com with the subject line "Refund Request" within 7 days of your charge. Include your account email address. We will process eligible refunds within 5–10 business days to your original payment method.

3. Agency Services

Agency services are full human-prepared estimation projects (BOQ, takeoff, bid package, scope of work). These follow a different refund structure due to the labor involved.

3.1 Payment Structure

Agency projects require a 50% advance payment before work begins, and a 50% final payment on delivery.

3.2 Advance Payment (50%)

✗ The 50% advance is non-refundable if:
— The client cancels after work has commenced
— The client fails to provide required drawings within 7 business days of advance payment
— The client becomes unresponsive for more than 14 business days

✓ The 50% advance is fully refundable if:
— We are unable to complete your estimate due to insufficient or unusable drawings (minus a $50 review fee)
— We cancel the project for any reason on our end
— Work has not yet commenced at time of cancellation

3.3 Final Payment (50%)

The 50% final payment is due upon delivery of the completed estimate. Once delivered and accepted, the final payment is non-refundable. If you are not satisfied with a delivered estimate, please contact us within 5 business days — we offer one free revision per project.

4. Rate Validity

All estimates — AI-generated and human-prepared — reflect market rates at the time of preparation. Rates are valid for 30 days from the date of preparation. Ximator is not responsible for cost changes after this period due to market fluctuations.

5. Chargebacks

If you dispute a charge with your bank or credit card issuer (chargeback) without first contacting us, we reserve the right to suspend your account and contest the chargeback with supporting documentation. We always prefer to resolve issues directly — please contact support@ximator.com first.

6. Disputes

Any disputes related to refunds or billing will be resolved under the governing law specified in our Terms of Service. We aim to resolve all billing disputes within 10 business days of being notified.
