1. Information We Collect

We collect information you provide directly, including your name, email address, company name, and any project data you enter into our estimation tools. We also collect usage data such as pages visited, tools used, session duration, and IP address.

Categories of personal information collected:

Identifiers: name, email address, company name
Account credentials: hashed password (we never store plain-text passwords)
Commercial information: subscription plan, payment history (processed by third-party payment processor)
Internet activity: pages visited, tools used, session duration, browser type, IP address
Professional information: project descriptions and cost estimates you generate

To provide and improve our AI estimation services
To send transactional emails (welcome, password reset, estimate notifications)
To send optional marketing emails (onboarding tips, product updates) — you may unsubscribe at any time
To manage your account and subscription
To respond to support requests
To analyze platform usage and improve tool accuracy
To comply with legal obligations

3. Data Storage and Retention

Your data is stored on secure servers. Project estimates and uploaded files are associated with your account and accessible only to you and authorized Ximator administrators. We do not sell your personal information to third parties.

Retention periods: Account data is retained for the duration of your account plus 90 days after deletion. Estimates and project files are deleted within 30 days of account deletion. Log files are retained for up to 12 months.

4. File Uploads

Blueprints and documents you upload are used solely to generate your estimates. Files are stored securely and are not shared with any third party. You may delete uploaded files at any time from your dashboard.

5. Cookies and Tracking Technologies

We use the following cookies and tracking technologies:

Authentication cookie (ximator_token): An HttpOnly session cookie used to keep you signed in. This cookie does not track you across other websites.
Google Analytics 4 (GA4): We use GA4 to understand how visitors use our website. GA4 sets cookies (including _ga and _ga_*) that collect anonymized usage data such as pages viewed, session duration, and general geographic region. IP addresses are anonymized. Google's privacy policy is available at policies.google.com/privacy. You may opt out of GA4 tracking by installing the Google Analytics Opt-out Browser Add-on.
Tawk.to Live Chat: We use Tawk.to to provide live chat support. When you visit our site, Tawk.to may set cookies to enable chat functionality and recognize returning visitors. Tawk.to's privacy policy is available at tawk.to/privacy-policy. If you do not wish to use live chat, you may ignore or close the chat widget.

We do not use advertising cookies, retargeting pixels, or cookies that sell your data to advertisers.

6. Third-Party Services and Data Processors

We share data with the following third-party service providers solely to operate our platform:

Hostinger SMTP — email delivery (receives your email address to send transactional and marketing messages)
Google Analytics 4 — anonymized usage analytics
Tawk.to — live chat support (may receive your name, email, and chat messages if you initiate a chat)
Anthropic (Claude AI) — when you use the Blueprint-to-Cost AI tool, your project description is sent to Anthropic's API to generate estimates. Anthropic does not use API inputs to train its models. Anthropic's privacy policy: anthropic.com/privacy
Google Fonts — font delivery (your IP address is sent to Google's servers to load fonts)

We do not sell, rent, or trade your personal information to any third party for their own marketing purposes.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by emailing support@ximator.com. Account deletion removes all associated estimates, files, and personal information within 30 days.

8. California Residents — CCPA Rights

California Consumer Privacy Act (CCPA / CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (Cal. Civ. Code §1798.100 et seq.):

Right to Know: You have the right to request what personal information we have collected about you, the categories of sources, the business purpose, and the categories of third parties we share it with.
Right to Delete: You have the right to request deletion of personal information we have collected from you, subject to certain exceptions.
Right to Correct: You have the right to request correction of inaccurate personal information we maintain about you.
Right to Opt-Out of Sale or Sharing: We do not sell or share your personal information for cross-context behavioral advertising. No opt-out is required, but you may confirm this in writing by emailing us.
Right to Limit Use of Sensitive Personal Information: We do not use sensitive personal information beyond what is necessary to provide the Service.
Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

To exercise any of these rights, email support@ximator.com with "CCPA Request" in the subject line. We will respond within 45 days as required by law.

9. Nevada Residents

Nevada residents may opt out of the sale of personal information under Nevada Revised Statutes Chapter 603A. We do not sell personal information; however, you may submit a verified request to support@ximator.com.

10. Security

We use industry-standard security practices including bcrypt password hashing, JWT authentication tokens stored in HttpOnly cookies, HTTPS/TLS encryption, rate limiting on authentication endpoints, and security headers (HSTS, X-Frame-Options, CSP).

11. Children's Privacy

Ximator is intended for business users aged 18 and older. We do not knowingly collect information from children under 13 in compliance with the Children's Online Privacy Protection Act (COPPA). If you believe a child under 13 has provided us personal information, contact us immediately at support@ximator.com.

12. Changes to This Policy

We may update this policy periodically. We will notify registered users of significant changes via email. Continued use of Ximator after changes constitutes acceptance of the updated policy. The date at the top of this page reflects the most recent update.
